Position Overview:
This position is part of PETROS Asset Information Management, supporting Operations and Maintenance across PETROS’s Oil, Gas and Power businesses. The role is responsible for ensuring engineering, operational, maintenance and project documentation is accurate, accessible, traceable and well governed throughout the asset lifecycle. The position also plays a key role in Project-to-Asset handover, ensuring information from capital projects is complete, fit for purpose and ready to support safe and reliable operations, maintenance and future asset modifications.
Key Responsibilities:
- Execute and oversee document control activities for PETROS-operated Oil, Gas and Power assets and maintenance projects.
- Maintain and administer Master Document Registers (MDR), document metadata and document numbering throughout the asset and project lifecycle.
- Manage engineering, operational, maintenance and project documentation, including drawings, procedures, vendor documentation, operating manuals, P&IDs, cause and effect matrices, equipment records and integrity-related documents.
- Ensure documentation remains complete, accurate, current/as-built, traceable and aligned with approved revisions throughout the asset lifecycle.
- Coordinate document reviews, approvals and comment resolution with Engineering, Operations, Maintenance and Project teams.
- Support Management of Change (MOC) by ensuring affected asset documentation is appropriately updated and controlled.
- Administer and maintain EDMS, SharePoint repositories and other document management platforms, ensuring compliance with document control workflows, transmittal and revision control requirements.
- Act as the asset focal point for Project-to-Asset documentation handover from Capital Projects to Operations and Maintenance, ensuring project deliverables meet completeness, quality and compliance requirements for asset acceptance and operational readiness.
- Ensure compliance with PETROS Information Management, Records Management and Document Control requirements, including appropriate records retention and archiving.
- Act as the focal point for documentation matters involving internal stakeholders, joint venture partners, contractors and suppliers.
- Provide guidance and training to users on document control processes, EDMS and records management practices.
- Support digital transformation and continuous improvement initiatives in information and records management across asset and project teams.
- Bachelor’s Degree in Information Management, Engineering, IT or related field. Diploma holders with substantial relevant experience may be considered.
Qualifications & Experience:
- Minimum 8 years’ relevant Document Control / Information Management experience, including at least 3 years at Senior Document Controller level, with a minimum of 5 years’ experience supporting capital projects or operating assets within the Oil & Gas, Power, Energy or Petrochemical industry.
- Experience managing engineering and technical documentation across project/asset lifecycles, including project handover, commissioning, start-up, brownfield modifications and records archiving.
- Strong knowledge of MDR, revision control, transmittal management, document numbering, metadata and document governance.
- Experience managing Project-to-Asset / Operations handover, ensuring documentation is complete, accurate and fit for operational use.
- Experience coordinating with EPC contractors, engineering consultants, vendors, Operations and Maintenance teams.
- Proficient in EDMS such as ASSAI, Aconex, Livelink or similar, as well as SharePoint and digital collaboration platforms.
- Understanding of records management, retention, archiving, information lifecycle management and asset information management.
- Proficient in Microsoft Office, particularly Excel, Power BI and reporting tools.
- Experience supporting Gas Processing, Upstream, CCS, LNG, Pipeline, Power Generation or Integrated Energy projects/assets is preferred.
- Relevant certification in Records Management, Information Management or Document Control, and experience leading/coordinating document control teams, would be an advantage.
